As a Product Designer, I led the design effort to enhance the user experience for RAI, a multifunctional exhibition and conference center headquartered in Amsterdam, with operations worldwide. Our team was tasked with solving two major challenges: optimizing a lengthy and cumbersome registration process and implementing a double-branding solution for their customer platform.

Our team was tasked with solving two major challenges: optimizing a lengthy and cumbersome registration process and implementing a double-branding solution for their customer platform.

Problem

Problem

RAI’s existing platform faced two key challenges:

  1. Complex and Time-Consuming Registration Process

    • The current registration process was long and unintuitive, leading to frustration among exhibitors and attendees.

    • Users frequently abandoned registration midway, resulting in lost conversions.

    • The process required repetitive input of information, making it inefficient.

  2. Need for Double Branding

    • RAI’s platform needed to support branding for both RAI and its individual event organizers.

    • The lack of a structured approach to branding resulted in inconsistencies and confusion for users.

    • Event organizers required a flexible solution that allowed their branding to be prominent without overshadowing RAI’s identity.

Process

Process

To tackle these challenges, we followed a structured, user-centered design process:

  1. Stakeholder & User Research

    • Conducted interviews with exhibitors, attendees, and event organizers to understand their pain points.

    • Analyzed data on registration drop-off rates to identify friction points.

    • Worked closely with RAI’s internal teams to define technical constraints and business goals.

  2. Mapping the User Journey & Identifying Pain Points

    • Created detailed user journey maps to visualize where users encountered difficulties.

    • Identified opportunities to reduce unnecessary steps in the registration process.

  3. Wireframing & Prototyping

    • Designed low-fidelity wireframes to test simplified registration flows.

    • Developed interactive prototypes to demonstrate how double-branding would work in different scenarios.

  4. Usability Testing & Iteration

    • Collected feedback from event organizers to fine-tune the branding implementation.

  5. Collaboration with Development

    • Worked closely with the engineering team to ensure seamless implementation.

    • Provided detailed UI specifications and branding guidelines.

Solution

Solution

1. Optimized Registration Flow

  • Step-by-step guided process: Registration was redesigned as a clear, intuitive flow that minimized input fields and eliminated redundant steps.

  • Auto-fill & smart suggestions: Reduced manual input by integrating pre-filled data and smart recommendations.

  • Progress indicators: A visual tracker helped users understand where they were in the process, reducing drop-offs.

2. Double-Branding Solution

  • Flexible branding framework: Developed a system where RAI’s platform maintained its identity while allowing event organizers to integrate their branding seamlessly.

  • Customizable themes: Organizers could apply their own logos, colors, and brand elements while keeping the core platform structure intact.

  • Consistent UI components: Ensured branding variations did not disrupt usability by using predefined UI elements.
